Is Appointedd compliant with GDPR?

What data is covered by GDPR?

GDPR covers all data that allows a person, living or dead, to be identified.

I have heard that we need to provide our customers with the option to opt in to marketing. Does Appointedd allow us to do that?

Yes, as of the 8th April 2018, your customers can opt in to marketing when making a booking or by contacting you. Anyone choosing not to opt in or to opt out at a later time will still receive transactional emails e.g. confirmations and reminders. All marketing emails include an unsubscribe link to allow them to opt out if they choose to do so at a later stage.

If my customers opt out of marketing, can they opt back in?

Yes, the next time they book they will have the option to opt in to receive marketing again. They can also contact your business and you can change their preferences manually within the CRM.

Will I still be able to opt customers into marketing in the CRM if they ask me to when booking in person/on the phone?

Yes, you can manually opt the customer in to receive marketing updates provided they have confirmed with you that they agree.

Will my data and that of my customers be held in a GDPR compliant location?

All of your data is held securely at Amazon Web Services professional cloud hosting platform in Dublin, Ireland. This data center is covered by European law and is fully compliant with GDPR. Data for our calendar sync feature can also be hosted in AWS US East (N. Virginia) at the organization’s request. This data center is also GDPR compliant.

How can I see what data Appointedd has about me?

You can view and edit your information within Appointedd by clicking on your account name and selecting ‘account profile’. If you would like to make a subject access request you can email To discuss your account, we will need to verify that you are the owner of the account. Please ensure that if you book the appointment that you are the owner as you will have to answer data verification questions before we are able to discuss further.

How long should I expect to wait for a response?

All information will be provided within one month. If we are not able to compile your information in this time, we’ll keep in touch to let you know the progress of your request.

Will I be charged for a subject access request?

No. All information will be provided free of charge.

How can I check that my information is correct?

Log in to your account at and click on your account name in the top left hand corner. Select ‘account profile’ from the drop down menu. You can review and edit your details here.

I integrate with another application/system through Appointedd, will my information be changed with the partners or will I have to contact them separately?

You should contact any third parties that you integrate with and inform them of any changes to your information.

If I cancel my subscription, how long will my data be held for?

If you cancel your subscription, your account will be closed at the end of your current billing cycle. You will have access to your account up to this date.

Before this date you will need to export your customer and booking information. In compliance with the GDPR, all of your information will be deleted one month from your last date of billing.

My business is seasonal; will my information be deleted?

As standard we delete all inactive accounts one month from the last day of billing. If you would like us to keep your account data, for instance if your business is seasonal and you intend to reopen your account, get in touch and we will not delete your account.

I opted out of marketing emails. Why am I still receiving emails from Appointedd?

Opting out of marketing emails doesn’t prevent all emails from being sent. As per our terms and conditions, transactional emails are not classified as marketing so these will send regardless of your marketing preferences.

If you believe that you are still receiving marketing emails, please unsubscribe via the email footer.

I want to use the marketing function but I don’t have to be GDPR compliant. How can I remove the checkbox?

Appointedd is a UK-based company and therefore all information used for marketing campaigns must be compliant. This means that the opt-in checkbox is always activated if the marketing suite is in use. If you would like more information on GDPR and its requirements please see our free guide.

Can I send text message marketing to customers who haven't opted in?

No, GDPR covers all marketing which includes SMS marketing.

Can you advise me on I how I can remove all my data from Appointedd?

You have access to export your customer and booking data in CSV format by following this guide. On closing your account, your data will be deleted after one month.

While setting up my Appointedd account I have been asked to provide details I don’t want to give. Can I set up an account without giving these details?

In order to set up your system there is certain information that is required. This information allows us to create a unique identity for your account and to ensure that we can notify you of relevant updates to Appointedd and your account.

We will never share your details with any third parties without your consent and we have strong data security protocols in place to protect your information.

Will my information be used as part of automatic decision making?

No, we don’t use your information for automatic decision making. Appointedd only asks you to provide information that is essential to your account processes.

Will my personal information be used in any profiling?

No, we don’t use your personal information for any profiling procedures.

Will my information be used to create stats?

Our systems only use anonymized information to build stats. No individual is identifiable from this data.
